Self-enrolment

We have made the following updates to self-enrolment for OST applications:  

  • Added progress indicators to every page on the applicant’s view of the application. This requires the applicant to complete at least one question on every page, with the intention of collecting more information from applicants invited to self-enrol.

  • The text of the questions and answer options have been updated on the applicant’s view of the application. The text now refers directly to the applicant to be more user-friendly.
  • Applicants will now be able to submit their application from the ‘Applicant Invited’ status, as well as the ‘Applicant Enrolment’ status. This is applicable in scenarios where the training provider user has invited the applicant to self-enrol but completed most of the application on their behalf. If the applicant accesses the application during this time, they can submit the application without updating it.
  • The email address field on the applicant’s view of the application is now read-only and cannot be edited during the application. If learners wish to update their email address, they can do so via their account settings.

Employment Page Edits 

Training provider users will now be able to edit the ‘Employment’ page of an OST application post sign up, but only for existing applications where the ‘Employment’ page was not previously completed prior to the addition of a mandatory question on that page. The page will remain read-only for all other OST applications.

Bug fixes

  • Applicants can now add and save their date of birth on the ‘Personal Information’ page.
  • The compliance section on OST applications will no longer be displayed on ‘In Progress’ applications. The compliance section will only be displayed for applications that have been signed up, completed, or edited.

Apprenticeship Applications 

We have updated the ESFA’s telephone number on the Training Plan document.

ILR 23/24 Specification Updates 

Following the release of version 1 of the 2023 to 2024 ILR Specification we have made a number of changes to the ILR to prepare users for the addition and removal of a number of fields.

These changes are advisory and do not prevent the selection and subsequent inclusion of data in the ILR XML file if used ahead of the indicated “valid from” dates. Please ensure that data is not recorded in these fields prior to 1st August 2023 where indicated or this will cause ILR validation errors.

Further changes may follow with the release of subsequent versions of the ILR specification for 2023 to 2024.

ACL - Community learning objectives

A new Learning Delivery Funding and Monitoring type: “ACL - Community learning objectives” has been added to the available Funding and Monitoring type dropdown options. This Funding and Monitoring type has seven associated Funding and Monitoring codes, all valid from 01/08/23:

AFL – Community learning which is Family Learning

A new Learning Delivery Funding and Monitoring type: “AFL - Community learning which is Family Learning” has been added to the available Funding and Monitoring type dropdown options. This Funding and Monitoring type has one associated Funding and Monitoring code, valid from 01/08/23

HHS – Household situation

The Learning and Delivery Funding and Monitoring Type “”HHS – Household situation” is being deprecated for new starts from the forthcoming academic year. We have updated the UI to reflect that this Funding and Monitoring type and the associated codes are only valid for new starts until 31/07/23

“Percentage taught” HE information fields

The “percentage taught in first, second and third LDCS subject fields” is being deprecated for new starts from the forthcoming academic year. We have updated the UI to reflect that these Learning Delivery HE information fields are only valid for new starts until 31/07/23.

Withdraw reason

The withdraw reason “28 – OLASS learner withdrawn due to circumstances outside of the providers’ control” is being deprecated for new starts from the forthcoming academic year. We have updated the UI to reflect that this withdrawal reason is only valid for new starts until 31/07/23.
