Qualification Achievement Rates - Uploading your Files

Introduction

In order to calculate the most accurate indicative Qualification Achievement Rates we require historic ILR files to mirror the ESFA calculation as closely as possible. To securely facilitate the transfer and storage of files we have an upload portal available to ILR Admin users.

Please note: It is currently a requirement to have at least one ILR file for the current academic year in order to generate the QAR for the current and previous academic year.

Uploading your files

The new page can be accessed via Admin > QAR File Upload and will allow you to upload up to 5 ILR files to support the running of the QAR reporting.

For the current academic year, you are able to upload any Funding Period. We suggest you load in your latest ILR submission at the end of each period to get the most accurate QAR.

Use the drop down field to select which Funding Period you are uploading and then either drag and drop or browse to find the ILR XML file you wish to upload.

For previous funding years you will need to upload your R14 files to the portal however during crossover period you will be able to upload your R11 to R14 files into last year to manage this interim period.

This is to ensure the closest possible calculation outcome to the ESFA's calculation and aid your reconciliations.

On a successful upload, the page will display the below image and files will begin processing and calculating your QAR for the reports. Detail on who uploaded the file and when are also shown.

 

As part of the upload functionality, we validate the file against the ESFA’s XSD schema file​. If any area of the ILR XML fails this validation, an error message will be displayed similar to the below image detailing the specific errors.

 

Users are able to delete the file using the bin icon or download the file by clicking on the file name.

 

Note: If you have not uploaded all 5 years worth of ILRs in our upload tool QAR calculations may differ substantially to what the ESFA calculate. Where a year in the middle of the sequence is missed, we will only calculate back to the latest consistent upload. For example, by submitting years 1, 2, 3 and 5 we will only run calculations back to years 1-3.
