Custom Data Exports: Enabling the Feature and Assigning Permissions

Introduction

This article will explain how to enable the Custom Data Exports feature and assign the user permissions needed to export, save and share data templates.

As this feature involves downloading data, we strongly encourage you to conduct your own DPIA review before enabling this feature.

In particular, you may want to consider where data will be saved, who will have access to it and who can share access to templates.

Enabling the feature

The Custom Data Exports feature is an Enterprise-level feature. Please contact your customer success manager to enable it.

Assigning permissions

Custom Data Exports and access to data is shared via user management. To allow access to the portal Assign Custom Data Exports permissions in the Additional Permissions section.

 

Although currently there is one level of access, this guide will explain the two levels that will eventually sit within this feature.

 

Custom Data Exports - Administrator

Users with this role will have full access to the custom data exports feature and should be in a position where full access to your data is acceptable. Users with this permission will be able to:

  • Access all data within your Data Warehouse to produce exports
  • Save, edit, view and delete any custom templates within your tenancy
  • Share templates with Custom Data Export Users (not currently available)
  • Set the data access level of shared templates to "all learners" or "my learners"

 

Custom Data Exports - User (not currently available)

This user role will follow in a later iteration however for context of the feature we have explained the use here.

Users with this role will only have access to data that has been shared with them. They will be able to:

  • View all templates that have been set as shared by the administrator
  • Export the data exactly as defined in this template
  • Where "my learners" has been applied in a filter, only see the learners where they are the primary trainer.

They will not be able to;

  • Create new templates
  • Edit existing fields or filters in a template
  • Delete templates
  • View templates set to private
