Evidence Pack: Downloading an Evidence Pack

Introduction

This article will explain how you can download an evidence pack for a learner in Bud.

Downloading an Evidence Pack

Once the pack you have requested is ready to download, it will be shown on the “Downloads” tab. You will see the following information for each pack ready to download:

  • Pack title – e.g. Application Evidence
  • File size
  • Date & time the pack was completed
  • Date the pack will expire

Click the “Download” button to start the download in your browser. For smaller packs, this download might be quick and appear in your browser’s downloads section within a few seconds. For larger packs, you will see a progress tracker counting up to 100% on the pack's card.

Please note that you will need to remain on the page for the full duration of the download. If you leave the page before the download is finished, it will be cancelled.

Your packs will be downloaded to your local machine as a ZIP file. The name of the pack will be: Learner’s Name-Pack Type, e.g., John Smith-Application Evidence

You can re-download packs as many times as you like, for as long as they are active. Packs will remain active for a minimum of 72 hours, at which point they will expire. If a pack has expired, it will be shown in the “Downloads” tab for 7 days after expiry. You will be able to create a new version of the pack by clicking the “Request Again” button.

Pack Structure

The contents and structure of each pack type will vary, but we have implemented some consistent features.

Sub-Folders

For example, sub-folders are used within the pack to separate different types of evidence. In the Application Evidence pack, this will be:

  • A folder for the application documents
  • A folder for the additional files uploaded during the application (where applicable)

For the Portfolio pack, this will be:

  • A folder for each activity in the learning plan

Naming Conventions

We have tried to keep the naming conventions of folders and files as simple as possible. For activity folders, we have kept the name of the activity as the folder name. We’ve also added a incrementor at the start of the name so we can preserve the ordering seen in the platform - this is by activity due date. E.g.,

Where there are multiple versions of application documents, we have included the date (in a YYYY/MM/DD format) in the file name. This allows us to arrange the files in chronological order within the pack and makes it easier for you to find the document you are looking for.

Any uploaded files will retain the name they were uploaded as.

Pack Contents

Please note that unless specifically noted as included below, it is not included in the download.

Application Evidence

This pack will include:

  • All versions of application documents, including:
    • Application Summary
    • Apprenticeship Agreement
    • Training Plan/Commitment Statement
    • Funding
  • All files uploaded as part of the application – e.g., Certificates, PLRs, BKSB evidence, etc.

Portfolio

This pack will include:

  • Every activity in the learning plan. Every activity will include:
    • An Activity Overview file – describing the details of the activity, the OTJH log, and the mapped criteria for that activity.
    • A submissions folder – including every submission file sent between the trainer and learner for that specific activity.

Activities Flagged for EPA

This pack will include the same information as the Portfolio pack, but it will only include the activities that have been flagged for EPA in Bud.

Download Performance

Please note that the speed of the download will vary between packs. Where there's minimal evidence in a pack, the download will be quick. Where there's lots of evidence in a pack, this might be considerably slower.

Your internet speed will also impact the download speed of your packs.
