Data Warehouse - Data Warehouse Access and Security

Introduction

This article is to outline the steps to access the data warehouse and how your data remains secure. 

Bud recommends customers use a VPN to a static IP address when requesting access to the Data Warehouse. This will remove the need to update dynamic IP addresses and supports best practice for information security for your business data. 

Information security is of the upmost importance to Bud. The Data Warehouse provides access to all your data. To help keep this secure we have implemented a 2-factor model. Users will require:

  • A Username and password for each unique user
  • A known IP address for the user. We utilise IPsec which restricts access to known locations

IP addresses and/or accounts which have not accessed the Data Warehouse for more than 6 months will automatically be disabled without notice.

User Roles

  • Nominated Training Provider Contacts must make the request for new user access to the Data Warehouse, via your Account Manager.

How to: Accessing the Data Warehouse and Security 

To request access please use the following steps: 

  • Nominated Training Provider Contact makes the request for new user access to the Data Warehouse, via your Account Manager.
  • You will need to provide the following details (Once received we will set you up with your account and confirm the account details back within 2 working days)
    • Training Provider Name
    • User's full name 
    • User's email address
    • IP address for the location you will be accessing the data warehouse from
  • Where there are multiple users that require access please provide the email address and user name for all of them. If they are using a different IP address please make that clear. 

How to find my IP Address

There are several ways to find your IP address but the easiest is to visit a site such as https://whatismyipaddress.com/ From here you can obtain your IP address and discover if your IP address is static or dynamic.

Static vs Dynamic

Why does this matter if your IP address is static or dynamic? If you have a static IP address, then the IP address you have provided us with is a permanent address. Only a few things like changing providers will cause this to change.

Dynamic IP addresses will change for several reasons, here are some of the main reasons:

  • Restarting your modem
  • The leased duration of a given IP expires (can be 7-14 days)
  • A provider’s server is rebooted

If this happens your access to Data Warehouse will be refused by our server and you will need to provide us with your new IP address.

As a business, you may be able to request a static IP address from your provider if you don’t already have one, but your home IP address will more than likely be dynamic.

What to do if my dynamic IP address changes? 

  • If you are already an authorised user, contact DataWarehouseAccess@bud.co.uk requesting your IP address is updated
  • Be sure to pass on the below details
    • Training Provider Name
    • User Name 
    • User Email address
    • IP address for the location you will be accessing the data warehouse from
  • Once received we will update your account and confirm the account details back within 1 working day (typically within hours of the request).
