Introduction
Following the 2026 Assessment Reforms, learners can now move to a later version of their standard in situ, rather than being withdrawn and restarted. Change of Version brings this directly into Bud: in a single action you can switch a learner to a later version of the same standard, keeping their progress intact — and you decide when the move is right.
Users
- Only users with the Standard Version Management permission can change a learner's version.
How to — change a Learner's version
Changing a version cannot be undone. There is no way to revert a learner to a previous version, and where KSBs have changed the old ones are permanently removed. Make sure you're certain before you confirm.
- Open a Learners Plan
- Open the 'Administration' navigation item.
- Open the Change of Circumstances page.
- Select the Version Change tab.
- Click the 'Start Version Change' button.
- If no later versions are available in Bud, a message to explain the Learner sis on the latest will be displayed.
- Enter the required details
- Select the new version, and
- Select to confirm the employer and learner have agreed to the change.
- Confirm the change when prompted. (Remember: this cannot be undone.)
- Wait for the change to complete.
- Go to the learner's Activities and complete any remapping that is required.
What happens to KSBs: Where there are major KSB changes between versions, the old KSBs are removed and the new versions are added. Where there are no major changes, only the standard's name and version number are updated.
Bud Recommends
- Consider when and why you're doing this. Think carefully about the right moment to switch, and the impact the change will have on the learner — particularly where a change to the criteria means KSBs will be removed and replaced.
- It's a one-way, one-time action. A version can only be changed once, and only ever to a newer version of the standard.
- It affects the version of the standard only — nothing else about the learner's programme is changed.
- Viewing vs. doing. Users without the Standard Version Management permission can still see the Change Versions tab, so they can check whether a learner has already been moved.
