Viewing your Applicants and Learners

 

Introduction

In the Employer Portal, you will be able to view information regarding any applicants or learners you are the primary contact for, including an overview of completed reviews, applicants being enrolled and learners' progress on programmes.

If you have multiple accounts and have used the same email address to register each time, you will see all of your learners in one portal.

How to: View your Applicants and Learners

Your Applicants:

Underneath your documents, you will also see an overview of any applicants currently going through the enrolment process. The applicant’s name, programme, employer, and enrolment status will be shown in your list.

The following applicant statuses are used throughout the process:

  • New –Application is first created in the system and some details have been entered
  • Invited– Applicant has been invited to register and complete some details themselves. Some details have also already been entered by the training provider
  • To Schedule– Initial eligibility details have been completed and sign up meeting is ready to be scheduled
  • Scheduled– Sign up meeting has been scheduled but the training plan has not been signed
  • Archived– Application has been archived so cannot be edited or progressed any further
  • Committed– Apprenticeship Agreement and Training Plan have been signed, learning plan generated and learning can start. Funding has not yet been signed.
  • Signed up– Funding has been signed off by the employer and the learner is fully signed up to the programme. A user is now able to perform compliance checks.
  • Signed up Edited– Application is being edited
  • Completed– Application has been completed, all documents have been signed and compliance checked and everything is complete
  • Completed Edited– Application is being edited

Your Learners

In this section of your dashboard, you can see all your learners that are on programme and check their overall progress. You can do this by simply clicking on the learner’s name, which gives you real-time access and insight into their overall progress. 

The following learner statuses are used throughout the process: 

  • In Progress - Learner is actively completing their learning. 
  • In End Point Assessment - Learner has met the gateway requirements and is now working towards their End Point Assessment. 
  • Break Requested - Learner's trainer (or relevant user role) has requested a break in learning. This should be agreed with both you (the employer) and the learner and only be used if the learner intends to return to their programme. 
  • Withdrawal Requested - Learner's trainer (or relevant user role) has requested a withdrawal from learning. This should be agreed with both you (the employer) and the learner and only be used if the learner is not going to complete their programme. 
  • Break Approved - The learner's break has been approved (this will be completed by the training provider) and is waiting for the final administration checks. 
  • Withdrawal Approved - The learner's withdrawal has been approved (this will be completed by the training provider) and is waiting for the final administration checks. 
  • On Break - The break has been processed by the relevant administration role and the learner is now on a break (this will be completed by the training provider).
  • Withdrawn - The withdrawal has been processed by the relevant administration role and the learner is now withdrawn from the programme (this will be completed by the training provider).
  • Completed - All learning and qualifications have been marked as complete.

When within an individual learner record you will taken to the following page where you will be able to view any scheduled reviews and previously completed reviews you have attended.

By selecting 'Learning plan' from the learning drop-down menu will also be able to view the learner's list of activities, their status, and their due date as shown below:

Please note that Employers cannot edit activities or click on an activity to view any further details.
