Release 5.1 - 20th August 2024

Set Date in Learning Plan

In the last release, we updated the activities table on the Learning Plan page to include the date the activity was completed, in this release we include the addition of the date an activity is 'Set' in that same table. This applies to Learners, Employers and Training Provider users.

If an Activity is not set, then the set row will not be displayed.

Bug Fixes

In this release we have fixed the following bugs:

  • OST applications displaying the wrong age - sometimes the age of applicants was inflated and did not match the DOB entered.
  • Users with only the IQA or EQA Roles were unable to access the 'Activities' page of any Review. This has been fixed and those users will able to access the Review Activities again.

2024-25 Academic Year Reports

With the recent rule changes in the 24/25 funding year, the following adjustments have been made to our reporting suite, including:

  • Standard Reports, Tripartite Progress Reviews – This report now calculates tripartite reviews every 3 calendar months instead of the previous 12 weeks.
  • Standard Reports, NEW Learning Support Reviews report – This report has been created to aid in the monitoring of Learning Support reviews every 3 calendar months. The report focuses on learners with ALS plans in place and looks at the time between their last Learning support review and their next to determine if attention is required.
  • ILR Reconciliation Report – 24/25 ILR values have been added and default slicer selection has been updated to the new year
  • Accountability Framework – 24/25 ILR values have been added and default slicer selection has been updated to the new year

QAR Reports - Enterprise

  • Overdue_continuing has been added as a slicer on the potential achievers page for training providers to remove learners with continuance issues from previous years. These learners are still accessible by setting the slicer to “1” for any further investigation or mitigation you would like to carry out. With R14 steadily approaching, we suggest providers look at any learners with continuance issues from 22/23-23/24 so they can be corrected before the year closes, these can be looked at within this report or using your FRM06 reports provided by the ESFA in your post-16 monitoring dashboards.
  • Additional fields have been added to the QAR CSV Exports for further analysis:
    • Ethnicity
    • Age band
    • Legal sex
    • Primary LLDD
    • Learner Name
  • QAR Reports have automatically moved over to the next academic year allowing you to see your 24/25 QAR and retaining your 23/24 QAR. The upload portal has also moved along allowing you to upload your 24/25 ILRs. Please be aware of a few points during this ILR crossover period;
    • R11, R12 and R13 files for 23/24 can still be uploaded in the 23/24 R14 section to allow you to continually monitor your 23/24 QAR.
    • In order to generate the QAR calculations, a 24/25 ILR must be uploaded, reports may show blank if a 24/25 ILR has not been uploaded. We are currently investigating this logic to minimise confusion in August when a final R01 has not yet been submitted, however uploading an in month R01 file will ensure QAR generation takes place.

Finance reports – NEW Pending clawback report

This report has been added to monitor the buildup of potential clawback from learners that are in the Withdrawal requested/approved or Break requested/approved statuses.

The report looks at the proposed end date for these learners and calculates the clawback they will attract if they are to be fully processed on break or withdrawal this month, allowing you to make informed financial decisions around timely processing of these learners.

  • Some instances of the QAR CSV file populating the incorrect year have been rectified
