Apprenticeship Propagation Rules

Introduction

Updates made to published Apprenticeship programmes will propagate to either or both the application and learner management sections of Bud. However, there are certain rules that determine when updates propagate. For example, we wouldn’t want to add new content to an application that has already been signed up.

Please note that we do not currently have the edit programmes functionality for OST programmes. This means there are no propagation rules to follow for OST applications.

The following features have propagation rules:

  • Activity Library
  • Custom Self-enrolment Page
  • Flexible Enrolment Questions
  • Learner Mapping
  • Delivery Method

When changes are propagated

While each specific feature may have its own propagation rules depending on where the update is shown, all of them have the same rule that a programme must be republished for the update to be propagated.

If updates are made in programme, but the programme is not republished, then those updates will not propagate through to Bud’s application or learner management and the previous configurations from when the programme was last published will persist.

Propagation rules by features

Propagation in Application

Propagation in Learner Management

Custom self-enrolment page

This feature allows you to replace the generic Bud page applicants see when they submit their self-enrolment with a custom page you design.

Enterprise

  • Updates propagate when the programme is published/re-published.
  • Updates are made up to the point the learner clicks ‘submit’ on their self-enrolmentIf an applicant is already viewing either the generic Bud page or a previous version of the custom page when the programme is republished, then the page will not update while they are on it.
  • However, if they were to exit the page and return later, then they will see the new content.

Not Applicable

Flexible Enrolment Questions

This feature allows you to add programme-level custom questions to your applications, including the applicant self-enrolment flow.

Enterprise

  • Updates propagate when the programme is published/re-published.
  • Updates are made up to the point the programme is selected for that application
  • If the programme selection is changed during the application, then the Training Provider Programme Questions page will update with the new set of questions associated with the new programme, if there are any.
  • Questions and answers provided for the original programme will be discarded.
  • Any new applications created after the programme has been republished will automatically see the new Flexible Enrolment Questions content.

Not Applicable

Delivery Method

This feature allows you to add a programme delivery method to the Training Plan document during the application.

Essentials

  • Updates propagate when the programme is published/re-published.
  • Updates are made up to the point a signature is added or requested on the Training Plan document.
  • If the Delivery Method has been updated in programme and republished, when the application enters edit mode then the latest Delivery Method selection will be displayed on the new version of the Training Plan document. Previous versions of the Training Plan will continue to show the previous Delivery Method selection.

Not Applicable

Learner Mapping

This feature allows the learner to map their own assessment criteria when making a submission in the Learning Plan. There are no application changes based on this feature.

Premium

Not Applicable

  • Updates propagate when the programme is published/re-published.
  • Updates will apply to all learners still in progress on that programme.
  • The update will only apply to activities that have not already been submitted.

Activity Library Propagation

Bud’s Activity Library is a place where you can build and store activities to use when creating programmes. This is a Premium feature.

For more information on the propagation rules for Activity Library, please see this article.
