Inclusion - Wellbeing Concerns Log

Introduction

Wellbeing concerns raised against a learner are recorded and tracked in the Wellbeing Concern Log. Each concern, along with the actions taken to address it and its eventual resolution, is held in a single place, replacing scattered emails and side conversations. This makes it easy to see the full history of a concern and to demonstrate that it was followed through to a close.

User Roles

  • Trainer – can access the concern log for learners they have access to, either as primary or secondary trainer. 
  • Inclusion Admin – can access the concern log for learners they already have visibility of.

 

How to: View Concerns

  1. Open a Learners record. 
  2. Click the 'Inclusion' navigation item
  3. Select 'Wellbeing' 
  4. Here you will see the concern log. 

 

How to: Add a Concern

  1. On the Inclusion tab, click 'Add Concern'. 

       2. Fill in the concern form. 

       3. Click 'Add Concern'

 

How to: Add, edit and complete actions for a concern

Once a concern has been added, you can add actions to it. Actions provide you the ability to track everything done for the learner regarding that concern, and gives others a place to see what is outstanding. 

Adding Actions

  1. Click 'Add Action'

     2. Enter a 'Due date', and 'Action' details

     3. Click 'Add Action'

Complete Actions

To complete an action, click the checkbox at the start of the action detail:

To edit an action, click the edit icon at the end of each action: 

 

How to: Close a concern

Once all actions for a concern are completed, the concern can be closed. 

  1. Ensure all Actions are complete. 
  2. Click the concern menu item. 
  3. Click 'Close Concern' 

 

Bud Recommends

  • Log a concern as soon as it's raised, rather than waiting until more information is available
  • Record as much detail as possible against the concern, so anyone reviewing it later has the full picture
  • Before a learner shares sensitive information, explain to them what will happen with it and where it will be recorded
