Embedded Reports - ILR Reconciliations

Introduction 

This article provides an overview of the reports in the ILR reconciliations dashboard in Bud. The purpose of these reports is to highlight a mismatch between what Bud is presenting and what is showing on the ILR, essentially there is a difference between the back end and front end of the system.  

User Role 

  • All users with a reporter - ILR Reconciliations Reports permission switched on

How to: Understand ILR Reconciliation Reports 

Functional Skills

  • The report details all learners who have completed their level 1 functional skills (or they are exempt) and their level 2 start date is more than a month away.
  • All functional skills dates, start and completion, are the dates reported in the ILR.

Reconciliations - Withdrawals 

  • Learning aims which are being reported in the ILR as in progress but the learner is withdrawn in Bud.
  • Once the record is updated in the ILR in Bud, the learning aim will no longer be displayed. 

Reconciliations - On Break 

  • Learning aims which are being reported in the ILR as in progress but the learner is on a break in Bud.
  • Once the record is updated in the ILR in Bud, the learning aim will no longer be displayed.

Reconciliations - Returned From Break 

  • Learning aims which are being reported in the ILR as on break but the learner is in progress in Bud. Listed will also be aims with different start dates. 
  • Once the record is updated in the ILR in Bud, the learning aim will no longer be displayed.

Reconciliations - Completed Aims 

  • Learning aims which are being reported in the ILR as in progress but the aim is completed. 
  • Once the record is updated in the ILR in Bud, the learning aim will no longer be displayed.

Reconciliations - Completed Programmes  

  • Learning aims which are being reported in the ILR as in progress but the learner has completed their programme. 
  • Once the record is updated in the ILR in Bud, the learning aim will no longer be displayed.

Reconciliations - EPA Reconciliation 

  • Programme aims which are being reported in the ILR as completion status of 2 but the learner is in EPA
  • Once the record is updated in the ILR in Bud, the learning aim will no longer be displayed.

Reconciliations - Changes of Employer 

  • Learners that have changed employer but their ILR employment information is not up to date. 

Reconciliations - Learning Support 

  • Learning support funding where Bud or the ILR are missing information, or the dates are out of synch

Reconciliations - Employer Payments 

  • A comparison of the total payment records between Bud and the ILR (PMR 1&2)
  • Once the amounts match by dates they will no longer be displayed 

Reconciliations - Start Dates

  • Once a learner has been enrolled into Bud the start date can be changed using the edit flow but this will not update the ILR. We have created this report to highlight where there is a difference between Bud and the ILR

Reconciliations - Planned Hours 

  • After initial enrolment, the planned hours are set in the ILR. Within the Bud learning plan, if activities are exempted or added then the planned hours will increase or decrease. The new report will only include learners where the planned hours in Bud are less than those recorded in the ILR.

ILR Learner 

  • Will display all learners that the provider has switched on to show in the ILR

ILR Learning Delivery

  • Will display all of the aims associated with learners that will show in the ILR 

Bud Recommends 

Users would typically have to use these reports if the ILR is manually updated meaning the front of Bud has not been amended automatically. This is why Bud recommends limiting making manual changes to the ILR. Unless when necessary, for example when there is a change of employer.
