Introduction
This article will explain how you can add custom, programme-level questions to your Apprenticeship and OST enrolments.
For a demo of the functionality, please watch this video:
User Roles
The following users will be able to add custom enrolment questions in programme build:
- Programme Contributor
- Programme Manager
Adding custom questions to your programme
You can add custom questions to your programme build for all programme types in Bud, including Apprenticeship Standards and OST funding models, such as Bootcamps.
Navigate to the ‘Enrolment Questions’ tab in programme build to add your custom questions.
You can add three types of questions:
- Text
- Multiple Choice
- Yes/No
All three question types have two of the same configuration options:
- Display question to learner in self-enrolment – this option allows you to decide if you would like the learner to answer the question when you invite them to complete their self-enrolment in Bud. If this checkbox is selected, the question will be displayed to both the learner and the training provider users viewing the application.
- An answer is required – this option allows you to determine if a question is mandatory to answer. Please note, if the answer is mandatory then it will need to be answered before progressing the application.
As well as these two configuration options, each question type then has its own configuration option:
- Text Questions: ‘Allow for a long answer’ – this lets you allow a longer answer from the user answering the question. The default ‘short answer’ for Text Questions has a limit of 250 characters, but this can be extended to 500 characters by selecting the ‘Allow for a long answer’ configuration.
- Multiple Choice Questions: ‘Allow multiple options to be selected’ – this allows the user answering the question to select more than one answer option. If this configuration is not selected, then users answering the question will only be able to select one answer option.
- Yes/No Questions: ‘If yes/if no, ask additional questions’ – you are able to add question branching from the Yes/No question type. This allows you to set a different branch of questions depending on the answer to the parent question.
Arranging questions on the form
You can arrange the order of the questions on the form as you would like them to be displayed to the user answering them during the enrolment.
You can move questions up and down the form to get them in the correct order. Click either of the ‘Move Up’ or ‘Move Down’ buttons to move a question one place. This can also be done for child questions that form part of a branch. Please note that questions in a branch cannot be moved out of the branch.
You can remove questions from the form entirely by clicking the ‘Remove’ button. This will remove the question and automatically re-number any questions below the removed question so there are no gaps.
Editing published programmes
For Apprenticeship programmes, you will be able to edit existing programmes to add custom questions. Changes made to programmes will only take affect once the programme has been re-published.
If the programme has already been selected for an application and then the programme has custom questions added or updated, then no updates will be propagated to that application. However, new applications that select that programme will have the latest updates applied.
Please note that it is not possible to edit existing OST programmes. To add custom questions to your OST programmes, you can clone those programmes and add them before re-publishing the new programme.
