Flexible Enrolment Questions - Enterprise feature

It is now possible to add custom programme-level questions to your enrolment process! This new feature gives you greater flexibility with customising your enrolment processes with features that include:

  • Programme-level custom questions for both Apprenticeship and OST enrolments
  • Choose which custom question you want to show to applicants during self-enrolment
  • More configurability with questions, including making them optional or mandatory
  • Question branching

Living Training Plan

We have enhanced the Living Training Plan feature so that new versions of the Training Plan document will re-order activities that have been re-scheduled in the learning plan. Appendix A will now show both the original and updated start & end dates for activities.

As an example, the image below shows that the activity “Dealing with Customer Conflict and Challenges” was originally due in Sept 2024, but the end date has been updated to Oct 2024 and so it is now displayed in the “Due Oct 2024” group.

Change of Circumstance

Building on the Breaks enhancements we released in September, we’ve been working to improve the withdrawals functionality.

As part of this update, we’re introducing a new Change of Circumstance section within the Learning Plan administration area. From here, you can manage withdrawal requests, whether the learner is currently in progress or on a break-in-learning.

Email Templates Updates

We have updated the content of two email templates sent to applicants during the enrolment process:

  • The self-enrolment
  • The BKSB invite

 

Enhanced File Upload Security with automatic scanning

Automatic malware scanning for all uploaded files. This update ensures that every file uploaded to our platform will be thoroughly scanned to maintain the highest levels of security and data integrity.

Malware scanning has always been available as a paid option for customers, but we're now including it for free for all Bud customers.

Bug Fixes

  •  We have fixed an issue whereby new Activities that were added to a Published programme, did not contain the assessment mapping criteria when propagated to in-flight Learners.  
  • We have improved the performance of an external Gateway API call, which in cases of large programmes may have timed out.

Standard Reports

  • Date of start review and start review status have been added to the monthly starts report detailing the date in which a start review is booked and or completed and the status of this review. Where more than one instance of a start review is present, priority is given to the earliest and most complete version.
  • Additional programme information has been added to the programme management report detailing the below, slicers have also been added for each of these fields;
      • Skill Scan enabled in self-enrolment
      • Map to assessment criteria enabled
      • Has custom content
  • Within the in-flight learners report, the following fields have been added;
      • Last completed review
      • Last completed type
      • Time to planned end of practical period (PEPP)
  • Within the withdrawals report we have added planned end of practical period to the table and as a slicer.
  • Slicers have been added to the in-flight learners report and breaks report to determine if the current trainer is active or inactive and enable you to easily manage caseloads for trainers that are no longer active users.

NEW Report – Activity Log

A new report has been added to aid monitoring activities at a deeper level. This report can be found in the activity progress page and shows a log of all activity detail against in-flight learners. This report can also be accessed by drilling through the data in activity progress.

 

QAR Projections - Enterprise feature

New functionality to project your QAR for the current year has been added to our QAR report. This allows you to select what percentage of continuing learners will end their programme in this QAR year and of those learners, what percentage are expected to be withdrawals allowing you to collect vital information on your minimum and maximum QAR for the year as well as a more realistic projection should you require it.

Accountability Framework

Basic QAR Calculations in the accountability framework now utilise achievement date as well as actual end date. The achievement date field is now also visible in the data table.

 

ILR Reconciliation

ILR Reconciliations have been adjusted to remove last years reconciliation pages as per year end however adjustments have been made so you are still able to access last years data in the following reports:

    • ILR Learner
    • ILR Learning Delivery
    • Full Learning Aims

NEW Report – Planned End Date reconciliation

A new report has been added to the ILR reconciliations to see differences between the planned end of practical period in Bud and the planned end date in the ILR. This report can be used to ensure documentations is correctly obtained or to make any adjustments if needed

 

Datawarehouse Fields

In this release we have added the below fields to the Datawarehouse.

Notice for ETL Customers

Change to data type length

In preparation for an upcoming change to the Learner Cohort Reference length on the platform, The Learning Plan.[DAS Info Cohort Reference] field has been updated from nvarchar(6) to nvarchar(50) in this release.

Deprecated Table – Now removed

As mentioned in our previous release notes. We are now removing the view Presentation.[Learning Outcomes] from the data warehouse. For more information and guidance for report developers or ETL customers, please refer to the original notice here
