Replacing OTJH with GLH in OST

We have made changes to ensure that the correct terminology is used for learners enrolled on non-Apprenticeship Standard programmes. Previously the terminology referred to “Off The Job Hours” for all learners, this will now display as “Guided Learning Hours” for non-Apprenticeship Standard learners.

The changes affect the learner plan, Assignment and Review screens. The underlying capture of these hours has not changed and you will continue to record them in the same way.

In this release, we have a number of small enhancements:

Additional permissions added to EPA dashboard for dismissing alerts

Following customer feedback, we have restricted the ability to dismiss alerts on the EPA Gateway dashboard (only) to users with the “compliance administrator” role.

Updated Math and English aim references and add new Z00 codes

We have updated the Math and English reference tables to ensure that automatic application of the ACT code in the ILR is consistent. We have also updated the Z00 code reference tables to ensure all published codes are available for use in the platform. 

QAR upload page: UI enhancements

To reduce the risk of confusion during the crossover period, the “R04 required” banner will not display before 01/11/** or when a file has been uploaded to R04.

For previous years there will be additional wording suggesting that the most recently submitted file should be uploaded, up to and including R14, when available.

Override banner displayed when no overrides were made/saved

Previously if an override was started but not saved or the data entered was the same as existed previously the section would be highlighted as having been overridden. This will now only be the case when data has been changed and the override saved.

Add message when every learner is “toggled-off” in the ILR

Previously, if all learners in a tenancy are toggled-off in the ILR and an ILR XML file is generated the download would fail with an error but give no reason why. Where this is the case now, a message will display to inform users that they have no active learners in their ILR and therefore it cannot be produced.

Confirming work is yours at the point of submission

Previously, a Learner could only confirm work was their own at the end of the activity submission & marking process. This can create a compliance gap between submission and confirmation, especially if a Learner becomes a leaver and we cannot evidence it was their own work.

To solve this, we have added a simple confirmation at point of submission. This is mandatory to be able to submit against an activity.

In this release, we have fixed the following bugs:

Rich text editor

Where the rich text editor was previously converting bullet points to numbered lists, this has been fixed.

Activity Library Searching

We have resolved some minor bugs within the search capability in the Activity Library. When clicking ‘Clear Filters’ the search did not then function, and if typing too fast, the results didn’t correctly load.

Allow LSF “Applies to” date to be overridden beyond the Learning Actual End Date

Where a learner continues to receive Learning Support Funding beyond the learning actual end date (i.e. during EPA) it is now possible to override the “Applies to” date in the ILR to reflect this.

SEM1 code application

Where a learner starts a programme after 01/04/24 the SEM1 ILR code will no longer be applied automatically regardless of the learner’s age, employer size or care status.

Dates in the ILR audit previously displayed in US date format

We have reformatted the dates displayed in the ILR audit pages to now show the date and time in standard UK date/time format (DD/MM/YY, HH/MM)

Fixed styling inconsistencies between the trainer/IQA dashboards

We have addressed a difference in the UI styling between the notification view/dismiss buttons across the two dashboards.

Bud Assist, Learner Insights for OST

We have expanded our Learner Insights functionality for OST programmes. You will now see a selection of learner insights available for all OST learners adjusted for alignment with OST programmes.

Employer Reports – Trainer name

We have now added Trainer name to all data tables within the Employer reports to enable clearer communication channels between yourselves and your employers.

Standard Reports – EPA coordinator

EPA coordinator has now been added to all EPA pages in the Standard reports as slicers and columns in data tables.

QAR – File information table

We have adjusted the file information table within QAR to only display ILR files being used in the report itself. This will allow you to see which files could be affecting your QAR values for the previous or current year.
