Providing Access to Bud for External Auditor

Introduction

Providing access for external auditors may be a requirement from time to time.  This guide outlines the steps to grant external auditors access to view specific learner data within Bud. Administrators can create a user account with limited permissions to ensure auditors only see the necessary information. This process helps maintain data security while facilitating thorough audits.

How to: Create an account for External Auditor

Ahead of the Audit:

To allow an external user to have access to your learners Bud suggests you:

1. Create a user account, with a known email address and password (ensure you have access to the email account)

2. Allocate the trainer permission only to the account

3. Move the learners from your current trainer to the account created above.  This will ensure the external user can only see the learners they require to see

Once the audit has taken place:

1. Return the learners back to their original trainer

2. Remove all permissions from the ‘known account’ ensuring should anyone attempt to log in with the credentials they will not have access to the platform.

3. Good practice would be to change the password regularly using the ‘forgot password’ functionality at the login screen.

Bud Recommends

If the external user has requested to see a learner which is withdrawn or completed, Bud suggests using a screen share session to enable the auditor to view that learner's data.
