Introduction
If you are a Premium Bud customer you will have access to the enhanced EPA Confirmations. These provide the ability to record in Bud that EPA Gateway evidence has been checked by the IQA and is sufficient for the purposes of Gateway. There are three enhanced confirmations which can be found at the bottom of the EPA page and are described below.
User Roles
- Trainers
- IQA
- General Administrator
How to: Enhanced Confirmations
1. Trainer Confirmation
Will only be enabled if:
- The standard has been completed
- The last day in learning is entered
- You have the role of trainer
- The learner is 'In Progress'
If these conditions are not met then the banner will not be enabled. Note if a learner either entered EPA or completed their apprenticeship before 18th March 2021 the banner will not be displayed.
When you select the banner you will need to accept the declaration. If the learner has not completed a minimum of 12 months practical period (as measured up until the last day in learning) or there are qualifications which don't have evidence recorded against them then a comment will have to be entered as to why you are proceeding.
If you then proceed the confirmation will be marked as complete, with details recorded as to when it was completed:
In addition, Bud will create an alert on the IQA's dashboard to notify them that a learner is ready for EPA Gateway and that evidence needs to be checked. The IQA Confirmation will then be enabled for the IQA.
2. IQA Confirmation
The IQA Confirmation provides you with the ability to either reject or approve the evidence that has been recorded. The IQA Confirmation will only be enabled if:
- The trainer confirmation has been completed
- You have the role of IQA
- The learner is 'In Progress'
If these conditions are not met then the banner will not be enabled. Note if a learner either entered EPA or completed their apprenticeship before 18th March 2021 the banner will not be displayed.
Rejecting Evidence
- If the evidence recorded is not sufficient for EPA Gateway then you can select 'Reject'. When rejecting the evidence you can select common reasons for rejection (OTJHs not met, evidence not present for a qualification etc) and detail the reason.
- If you then proceed the evidence will be marked as rejected and the trainer will receive a notification on their dashboard telling them that the evidence has been rejected. The Trainer confirmation will then be reopened, to allow the trainer to reconfirm once issues have been resolved.
- Again, details will be recorded and displayed back to the trainer and IQA. The example below demonstrates the view for a trainer where the evidence has been rejected and subsequently reconfirmed:
Approving Evidence:
- If the evidence recorded is sufficient for EPA Gateway then the IQA can approve it. Similar to the trainer confirmation, if the minimum duration is not at least 12 months, or there is no confirmed evidence on the qualifications, then you will have to enter a reason as to why you are proceeding.
- If you proceed the IQA Confirmation will be marked as complete, with details recorded as to when it was completed:
3. Compliance Confirmation
The Compliance Confirmation also provides the ability to either confirm or Reject the Learner going into EPA, based on the evidence that has been submitted to the End-point assessment organisation (EPAO). The Compliance Confirmation will only be enabled if:
- The IQA Confirmation has been completed
- You have the role of either IQA or General Admin
- The learner is 'In Progress'
If these conditions are not met then the banner will not be enabled. Note if a learner either entered EPA or completed their apprenticeship before 18th March 2021 the banner will not be displayed.
Rejecting
If their is a Compliance issue with the learner entering EPA then you can select 'Reject'. When rejecting you can select common reasons and input some description.
The learner will be marked as rejected and the trainer will receive a notification on their dashboard telling them that the evidence has been rejected. The Trainer confirmation will then be reopened, to allow the trainer to reconfirm once issues have been resolved.
Again, the details will be recorded and displayed back to the trainer and IQA.
Confirming
Once you select to confirm, you will need to accept the declaration, before entering the date that the evidence was submitted to the EPAO. If you then proceed the confirmation will be marked as complete, with details recorded as to when it was completed and when evidence was submitted to the EPAO.
4. Gateway Confirmation
Once the three confirmations have been completed you will then be able to confirm that the learner has passed their EPA Gateway:
