Q&A

Wellbeing Concerns Log

Q - Can the Learner or Employer see the wellbeing concerns logged or the flags on the Learner Profile?

A - No, only the Training Provider can access and update the log of concerns. By default the Primary trainer, and any additional trainers have access.

Q - If a learner says yes to any wellbeing questions at the enrolment stage, does the person doing the enrolment need to do anything extra at that stage to record the concern or do the concerns get logged by coaches once on programme?

A – this is mostly a provider ways of working decision. If your enrolment team are trained and capable of making these decisions during enrolment, then absolutely they could log it. If you want your trainers or Learning Support team to have a conversation with the Learner first, then it should be flagged with them and logged by them.

Q - Would you recommend the Wellbeing Concerns are all dealt with by the SEND / Safeguarding representative?

Answered live by Gemma Hart - The best instances of ‘in the moment’ support would be your tutors and your coaches to upskill and empower them to deal with those concerns. So the kind of everyday struggles, you know, a little bit of anxiety, a little bit of work life balance concern, the tutors can manage those ones if they have that oversight and training. They must also know when to escalate those problems when they become bigger issues and when a problem's been going on for a few weeks.

Q - What would you recommend be the frequency of the Wellbeing Reviews taking place?

Answered live by Gemma Hart - I would do it at least at the reviews, and [at Tempdent and Knovia] we do our reviews every eight weeks and not 12, so you wouldn't want to go any longer than that. For pathway one learners, I would probably do them more frequent, because I'm going to be wanting to check in on how they're managing their learning because pathway one learners will more than likely have a little bit of more of a struggle than your standard learners.

It would also be depending upon your provision type, the demographic of your learners and their backgrounds for you to decide on the best approach. But I would always check in a little bit more frequently with those support learners and at least every review.

Q - Does it create a notification when adding to the log, i.e an email?

A – No notifications are sent because of the log, however oversight can be achieved within Bud’s reporting suite.

Q - Even if a user had IQA permission, they will need Inclusion Admin to see all learners' Concerns Logs?

A – The IQA role will also need the Inclusion Admin applied to be able to see the Concern Logs. This combination of roles will give the user access to all of your Learners’ concerns.

Support Plan

Q - Who can see the support plan?

A – All Training Provider users can access and update the support plan for learners they already have access to. Learners can see it as part of a signed document. Employers have no access.

Q - If you use the ‘funded’ option, does that automatically claim when the ILR is pulled down? If you select funded support does it auto turn on funding?

A – If you select a Funded Support Plan, the funding claim form still needs to be completed by the relevant user, to ensure the claim is backed by evidence and accurate.

Q - Do you get a reminder sent by BUD when you schedule in a review date for the support plan?

A – The Support Plan doesn’t send any alerts, when entering that date you should have a Review scheduled which will provide the usual reminders.

Q - Can a learner sign the Support Plan?

A – Yes, the Learner can sign their Support Plan within Bud.

Q - Can the learning support review be delivered by anyone else? I.e the Inclusion lead?

A – Any user with access to that Learner in Bud can schedule and deliver all types of Review, including the Wellbeing and Learner Support reviews.

Wellbeing Reviews

Q - Will learners/employers be able to access and see the Wellbeing Reviews?

A – Learners and Training Provider users can access the Wellbeing Reviews. Employers cannot access it.

Q - If we prebook a Wellbeing Review, will the learner still have access to this in advance of the review taking place?

A – The Wellbeing Review will follow the same pattern as all other reviews, which allow the Learner to contribute within 14 days of the scheduled start date.

Q - Would you automatically apply ALS to a learner who scores poorly at the Wellbeing Review?

Answered live by Gemma Hart - So what we do at Tempdent and Knovia is we use all of the information at the start to signal those learners that would be a pathway one learner. Those group of learners will then be referred to our ALS team, or you can use Cognassist to see if the need is enough to claim ALS funding for. If it is, then absolutely you can start to claim the ALS funding. For those learners that haven't got a big enough need to draw down the funding, that's where you would still put support that they need in place, but they would be your non-funded support learners.

Q - Is the wellbeing review going to be customisable?

A – The Wellbeing Review will not be customisable. Like the other Bud Reviews, only the core Progress Review is customisable. These Wellbeing questions have been curated in partnership with a Customer Forum and Ofsted inspectors.

Q - Would you encourage wellbeing reviews for all learners?

A – Yes, the more information and data you have in this space the more intervention and support you can provide.

Inclusion & Support Reporting

Q - Are there any new reports that show which learners have funded support/ non funded support/ had support?

A - this can be found within the existing ALS Reporting.

Q - What Standard reports can you pull across all your cohorts to highlight those learners with Wellbeing Concerns?

A - this report is coming soon.

Enrolment, Personal Details & Learning Needs

Q - Is there a way to filter those who are answering the free school meals question by age?

A – Within our reporting suite you should be able to filter the reports and drill-down by age groups.

Q - Are the Inclusion, how I learn and Wellbeing questions available to Applicants within self-enrolment?

A – All of the questions added as part of the Inclusion and Wellbeing functionality are available to Applicants via the self-enrolment forms.

Q - Why are certain conditions not within the ‘Learning disability, difficult or health need’ field, such as ADHD? But it does appear in the second list of barriers?

A – The first question feeds into your ILR claim, and these are the only options available to select within the ILR. We have identified that the list is fairly restrictive, and other needs like ADHD should be reported and measured.

Functionality & Availability

Q – Is the Inclusion and wellbeing functionality available to all Bud packages? Or are there any restrictions?

A – We believe this is such an important area of focus, that we do not restrict which Customers can access this functionality, so it is open to all.
